Booking & Cancellation Policy

Thank you for choosing Open Passage Tours. Our goal is to make travel planning simple and transparent. Please review the following booking and cancellation policies before reserving your Passage.
Booking Your Passage
Your reservation is considered confirmed once:

Your registration has been completed.

The required deposit has been received.

Your booking has been accepted by Open Passage Tours and our travel partners.
Space on our Passages is limited and is reserved on a first come, first served basis.
Deposits
Most Passages require a non-refundable deposit to reserve your space.
The required deposit amount will be provided during the booking process and may vary by destination, supplier, or departure date.
No reservation is guaranteed until the required deposit has been received.
Payment Schedule
A payment schedule will be provided at the time of booking.
Final payment is typically due 60 to 120 days before departure, depending on the trip and supplier requirements.
Failure to make payments by the stated due dates may result in cancellation of your reservation and the loss of any deposits or payments already made.
Pricing
All prices are subject to availability until your reservation is confirmed.
Pricing may change due to:

Airfare increases
-
Hotel availability
-
Currency fluctuations
-
Government taxes and fees
-
Supplier pricing changes
Once your reservation is confirmed, your pricing is governed by the terms of your booking and the applicable supplier policies.
Cancellations by Traveler
If you need to cancel your trip, you must notify Open Passage Tours in writing.
Cancellation penalties are determined by the travel suppliers involved in your reservation and may include:

Non-refundable deposits

Airline penalties
-
Hotel cancellation fees

Tour operator penalties

Supplier administrative fees
Some travel arrangements are fully non-refundable from the time of booking.
Refunds, when available, will be processed after funds are received from the applicable travel suppliers.
Changes to Your Reservation
Requests to change your reservation after booking are subject to supplier approval.
Changes may result in:

Additional airfare
-
Hotel rate differences
-
Supplier change fees
-
Administrative fees
Some reservations cannot be modified after they have been confirmed.
Travel Protection
We strongly encourage every traveler to purchase travel protection.
Travel protection may provide coverage for situations such as:

Trip cancellation

Trip interruption
-
Medical emergencies
-
Emergency evacuation
-
Lost or delayed baggage
-
Travel delays
Coverage varies by policy. Please review your policy carefully to understand what is and is not covered.
If We Must Cancel a Passage
While uncommon, Open Passage Tours reserves the right to cancel a Passage due to circumstances such as:

Minimum traveler requirements not being met

Safety concerns
-
Supplier cancellations
-
Force majeure events
-
Operational circumstances beyond our control
If a Passage is canceled by Open Passage Tours before departure, we will work with our travel partners to offer one or more of the following, when available:

Transfer to another departure

Travel credit
-
Refunds provided by the applicable suppliers
Open Passage Tours is not responsible for incidental expenses such as airfare purchased separately, hotel stays booked independently, lost wages, visas, passports, or other personal expenses.
Supplier Changes
Airlines, hotels, transportation providers, and tour operators may make changes before or during your trip.
These changes may include:

Flight schedules

Aircraft substitutions
-
Hotel substitutions
-
Activity changes
-
Transportation changes
When practical, Open Passage Tours will assist travelers in finding suitable alternatives.
Minimum Group Size
Certain Passages require a minimum number of travelers.
If the required minimum is not reached, Open Passage Tours may:

Cancel the departure
-
Offer an alternate travel date
-
Offer another Passage
-
Provide supplier-authorized refunds or credits
Travelers will be notified as early as reasonably possible.
Travel Documents
Each traveler is responsible for obtaining and carrying all required travel documents, including:

Valid passport
-
Required visas
-
Entry permits
-
Health documentation
Failure to obtain required documentation does not qualify for a refund.
Refund Processing
If a refund is approved by the applicable suppliers, processing times vary.
Refunds may take several weeks to appear depending on supplier processing times and the original payment method.
Open Passage Tours cannot expedite supplier refund processing.
FlexPay
For eligible Passages, financing options such as FlexPay may be available through our travel partners.
Approval, terms, and repayment are determined solely by the financing provider.
